An operations and maintenance agreement should say who watches the system, who responds to problems and what work is included. Use this guide to prepare an enquiry for an existing commercial solar array and compare proposals on the same scope.
General maintenance guidance is a starting point. Commercial sites need a contractor to assess the actual equipment, site access, operating constraints and contract requirements.

Ask about your projectProvide the array capacity, commissioning date, panel and inverter models, monitoring platform and available drawings. Include maintenance history, current faults and any warranty records. Explain who owns the equipment, who occupies the building and who can authorise access or remedial work. If records are incomplete, ask the contractor to price an initial condition assessment separately from an ongoing contract. A proposal based on an accurate asset list is easier to compare than one based only on the size of the roof.
Ask each company to describe the planned inspections and reporting it provides, the proposed frequency and the basis for that schedule. Then ask how unplanned faults are handled. Establish the contact route, response expectations, working hours, travel arrangements and whether diagnosis or remedial labour is included. A promise to respond to an enquiry is different from a commitment to attend the site or restore generation. Keep these terms distinct when comparing contracts.
Identify who has access to the monitoring platform and who is expected to notice and investigate alerts. Ask what the contractor monitors, how it distinguishes missing data from reduced output and which reports you receive. Establish who maintains account access if the building manager or service provider changes. If performance analysis is included, ask for the assumptions used and how weather, equipment downtime and data gaps are treated. Do not assume that installing a monitoring app creates an ongoing monitoring service.
Commercial roofs and ground-mounted arrays can have different access requirements. Explain site induction rules, working-hour restrictions and any areas that cannot be entered without permission. Ask whether cleaning, access equipment, replacement components and additional visits are included or separately authorised. A cleaning service is not the same as an electrical inspection. Require the company to report proposed additional work and obtain agreement before treating it as part of an open-ended maintenance bill.
Give the contractor the inverter inventory and fault history. Ask which makes it supports, whether diagnosis is remote or on site and how it sources parts. Clarify who contacts the manufacturer and which labour, travel or access costs may sit outside product warranty cover. If replacement is recommended, request the reason, compatibility assessment and commissioning scope. Keep a record of the equipment removed, the models installed and the documents supplied after the work.
Check the duration, renewal process, price-review terms, exclusions and arrangements for transferring records when the contract ends. Identify who owns inspection reports and monitoring data and ask for a named escalation contact. Compare proposals using the same asset list and intended service level. A lower price with limited site attendance may be a different service from a comprehensive inspection and response agreement. Confirm that the contractor serves the exact site and system type before appointing it.
It depends on the agreed contract. Ask for the specific inspections, monitoring, reporting, fault response and remedial work included, with access, cleaning and replacement parts identified separately.
Some companies accept existing third-party systems, but equipment support and available records matter. Provide the system inventory and ask whether an initial condition assessment is required.
Ask the contractor to recommend a schedule for the equipment, site conditions, manufacturer requirements and operational needs. Do not assume one interval applies to every array.
Do not assume so. Read the actual performance and response commitments, their exclusions and the remedies offered. Monitoring, attendance and restoring generation are different obligations.
They may be combined or priced separately. Compare the full scope and establish who authorises additional work so responsibility is clear when a fault or access requirement arises.
Include your postcode, equipment details, whether this is a new or existing system and what you need the company to do. Choose an installer and confirm postcode coverage. Where online requests are available, your details go directly to the named business with your agreement.
